Notes and Updates for Steering Committee during planning stages of Spring Festival.
Committee Notes from 3/23/2010
Gene will be faxing the completed signatures for all the Shoppes to the landlord.
Discussion was held on getting the event flyers into all the building.
Bill was confirming all the details on the tent.
The refreshment committee discussed the process to purchase refreshments at the event.

Kathy Martinez - artists/ art guilds: contact and set up in walk way
Gene - Trash receptacles and restaurant’s recycling; entertainment, 2 rectangular tables,
Peg/Joe - wine, wine cups and napkins, additional help…
Kevin - beer, water, soda:coordinate volunteer shifts, set up:tent, beer truck, restaurant tables
Dick/Sandy - banners, signs, jolley trolley signs, SKCA Brochure
Ernest - Armed Forces participation, table cloths, decorations and skirts,
Bill - tent/tables & chairs and portapotties; Marine Corps participation
Don - signage @Sailing Center, posters from City, etc; buy tkts &bracelets
Dorie - volunteers to sell tickets and ID bracelets,
Distribution of signs advertizing event - everyone
Committee Meeting Notes from 3/16/2010
Gene reported that the landlord has approved the project subject to the four caveats.
Dick finalized the poster ad and larry will print (no cost to SKCA). Dick will be getting banner quotes.
Kevin is meeting with Great Bay on Beer truck and requirements. He is also following up on licensing requests.
Don is completing the Clearwater Application and meeting with city staffers.
Larry to contact Progress Energy concerning electrical needs.
The next meeting was schedules for March 23, 2010, noon at Backwaters. Gene was going to try to have all volunteers there.
Lou Cap - Jolley Trolley - 1/23/10
I spoke with Rosemary from the Jolley Trolley this evening.
We can either use the rate of $100 /hour running every 1/2 hour with a charge for riders of $4 per person and $2 for seniors. After 3 hours, the rate is reduced to $70 /hour. This seems to be a regular rate and would not go into SK park.

Have a 8-10 hour span continuous loop from the marina park to the sand key park . We would be able to direct the route to wherever we would like including inside Sand Key Park . 8 hours would be $560 and 10 hours would be $700 with no fare required. We would need a sign of some sort for the trolley alerting folks that this is for the Spring Fest only.
Those are the prices for a non profit organization charter. I think the second choice is the best since there isn’t any fare and at a much better rate.
Anyone going to the beaches in Clearwater will take the regular trolley that will have the regular fare.

Dear Springfest Committee:
We will be meeting this week on Thursday at noon instead of Tuesday at Backwaters again.
Sorry for change from Tuesday, but I have a midday meetings in Tampa Tuesday I forgot about.
Thank you for responses received so far and those I know are still being worked on.
I’ve never worked on a blog before but why not give it a try.

Gene and the rest,
I have spoken to the management of the shoppes. David Wordon (mgr) stated that he thought there would be no probelem as long as all the merchants have been invited to participate. We also need to send him a short overview of the event ie; time, date and a rough rendering of the set up. That in turn shall be faxed to the owner. They will in turn approve or ? and provide requirements (insurance, etc) and a letter of approval that will be required by both city and alcohol board for permits. Let me know if you wish me to carry that through.
